How do I add a visitor?

Understanding the visitor management section

With the My Estate Life app, managing guests has never been easier!🎉

Create access codes, tag your Favourites, re-invite from your Recent Visitors, and even set up recurring codes for those who visit regularly—quick, simple, and stress-free.

How do I create an access code?

Step 1: Start by tapping on the My Visitor button on the home page.  You will see an invite form here - the app gives you the ability to import a contact from your phones contact list.

NOTE : This function will ask for your permission to access your contacts, this does not give the app any ability to download or see all your contacts, it simply is a function of making it easy to fetch a contact information, and that action requires permission.

Step 2: Choose the type of visitor

You can easily switch between:

  • Normal Visitor – friends, relatives, or individual guests

  • Company – plumbers, electricians, contractors, etc.

  • Delivery – services like Mr D or The Courier Guy

Step 3: Set the Date & Time

You can customise your visitor’s arrival by setting an estimated date and time. The time doesn’t have to be exact—it just helps your property plan and manage security efficiently.

Step 4: Set the duration of the visitor's access

Some estates let residents give visitors access for up to 5 days on a single pass. Here’s how it works:

  • Once-off access – allows the visitor a single entry and exit.

  • 24 hours – gives the visitor unlimited in-and-out access for 24 hours from the scheduled date.

  • 2–5 days – gives the visitor unlimited access for the full duration of the allocated days.

Step 5: Submit Guest

Once you submit your guest, the app will generate a visitor ticket that you can easily share with them. There are several ways to do this:

  1. Save the image – Keep it in your phone’s gallery to share or use later.

  2. Share the image – Send it through any app on your phone, like WhatsApp, or Facebook.

  3. Share via SMS – Opens your SMS app so you can send the access code directly to your visitor.

  4. Share via WhatsApp – Sends the ticket image straight to your visitor on WhatsApp.

And that’s it—you’re all set! 🎉

See more details on your Arriving & Checked In visitors

To view your Arriving Visitors, click the My Visitors button at the bottom of the page:

To view more details about a checked-in visitor, just tap on their name in the app. This lets you see useful info like their access code (handy if they’ve forgotten it).

You can also “Check Out” a guest from the app. This marks them as no longer on the estate/building.

Why is this useful?

  • Sometimes visitors leave without checking out at security. In that case, the system still shows them as “on site.” The Check Out option lets you fix that.

  • It can also work as a security feature. If needed, you can check out a visitor to block them from leaving. Security won’t see them as “on site” and won’t let them exit until you’ve had a chance to alert security about the situation.

Favourite Visitors

We’ve taken the old Recent Visitors list and given it an upgrade with our brand-new Favourites feature.

Here’s what’s new:

  • ✅ You’ll still be able to see your recent visitors at a glance.

  • ⭐ You can now create your own Favourites list - perfect for family, friends, or frequent visitors.

  • ⚡ Sending invites just got faster - pick from your Favourites and send an access code in seconds.

To add a visitor to your Favourites, click the heart icon and either enter their information manually or select them directly from your contact list.

⚠️ Heads up!
If you sign out, your Favourites list will reset.

This is done to stay compliant with the POPIA Act. Feel free to reach out to our support team for more information on this.
